Job Title: Senior Maintenance Planner & Scheduler II
Location: Lexington BIO-OPS
About the role:
As a Senior Maintenance Planner & Scheduler II within Site Engineering, you will develop, coordinate, and optimize maintenance plans and schedules for complex equipment and systems across multiple disciplines, including utilities, process equipment, HVAC, and electrical systems. You will ensure maintenance activities are properly prioritized, resourced, and executed safely, efficiently, and in alignment with site operations, compliance requirements, and business objectives. Working closely with Maintenance, Engineering, Operations, Capital Projects, Integrated Facilities Management (IFM), and external service providers, you will improve equipment reliability, minimize downtime, optimize resource utilization, and drive continuous improvement across maintenance planning and scheduling processes.
How you will contribute:
- Develop, coordinate, and schedule preventive, corrective, architectural, and validation maintenance activities to support equipment reliability, regulatory compliance, and operational continuity.
- Drive achievement of key maintenance performance indicators (KPIs), including the percentage of work planned and scheduled, while identifying opportunities to improve planning effectiveness and maintenance execution.
- Develop comprehensive job packages, including job hazard analyses (JHAs), fire alarm impairment documentation, maintenance, repair, and operations (MRO) kitting requirements, GMP cleaning forms, and other materials needed for safe and effective work execution.
- Review, screen, prioritize, and assign incoming work requests to appropriate maintenance personnel and teams, aligning assignments with shift schedules, availability, qualifications, and skill sets to optimize workload distribution and timely completion.
- Lead the development and execution of Master Service Agreements (MSAs) and Statements of Work (SOWs), maintain ownership of purchase orders (POs), and coordinate with vendors to ensure preventive and corrective maintenance activities are planned, scheduled, and completed according to agreed timelines and service expectations.
- Plan, coordinate, and schedule maintenance-related capital expenditure (CAPEX) project work, ensuring alignment with project timelines, resource availability, operational priorities, and site requirements.
- Partner with Capital Projects teams to develop integrated schedules for plant shutdowns, new investments, plant upgrades, and maintenance activities. Represent Maintenance and Reliability (M&R) in assessing site impacts, managing interdependencies, and supporting effective shutdown planning and execution.
- Coordinate maintenance planning and scheduling with Integrated Facilities Management (IFM), serving as the liaison between IFM workstreams and site plans to improve visibility, coordination, and execution.
- Support procurement and timely ordering of internal and externally sourced materials, including function test bags and other supplies required for maintenance activities, equipment reliability, and operational continuity.
- Lead small maintenance-related project teams, such as floor resurfacing initiatives, while promoting safe execution, schedule adherence, cross-functional collaboration, and continuous improvement.
What you bring to Takeda:
- High school diploma or equivalent with 10 years of relevant experience, or technical certification, an associate degree, military technical training, or equivalent technical education in a related field with 5 or more years of relevant experience.
- General technical knowledge of HVAC, electrical, utility, and process systems sufficient to develop accurate maintenance plans, job packages, and integrated schedules.
- Advanced proficiency with computerized maintenance management systems (CMMS) or enterprise asset management (EAM) platforms, such as SAP PM, Maximo, Infor, or equivalent systems.
- Proficiency with planning and scheduling tools, including Microsoft Project, Primavera P6, or equivalent software, with the ability to develop, maintain, and communicate integrated schedules.
- Working knowledge of reliability engineering and maintenance excellence principles, including work prioritization, job plan development, execution readiness, maintenance performance metrics, and continuous improvement practices that improve asset reliability and equipment availability.
- Strong understanding of current Good Manufacturing Practice (cGMP) requirements, maintenance documentation, safety, quality, compliance, and audit readiness. Demonstrated ability to use electronic business systems supporting procurement, maintenance, safety, and quality management.
- Strong communication, organization, facilitation, and stakeholder management skills, with the ability to lead through influence, manage competing priorities, coordinate cross-functional teams, escalate issues effectively, and drive accountability. Demonstrated continuous improvement mindset, data-driven problem-solving, financial acumen, and ability to balance reliability, risk, cost, and resource utilization. Ability to work independently with minimal supervision and meet physical requirements, including wearing required PPE, gowning for biotechnology and pharmaceutical manufacturing areas, lifting, pushing, or pulling up to 50 pounds, standing for extended periods, climbing ladders, bending or stooping to inspect equipment, and working across Massachusetts Bio Operations facilities as required.
