The Opportunity
As the Senior Executive Administrative Business Partner to the CEO, you will serve as the strategic engine behind the Office of the CEO. You aren't just managing a calendar; you are curating the CEO’s most valuable resource: time. Working at the heart of the organization, you will partner with a high-performing support team to orchestrate complex global logistics, facilitate seamless executive workflows, and act as a sophisticated ambassador to internal and external stakeholders. This role is for a proactive, high-judgment professional who thrives on turning chaos into order and anticipates needs before they even arise.
Strategic Calendar Orchestration: Masterfully manage the CEO’s rhythm of business across multiple time zones, ensuring alignment with top-tier priorities and maintaining consistent engagement with key stakeholders and direct reports.
End-to-End Meeting & Logistics Excellence: Direct all aspects of executive readiness, from curating critical pre-reads in Google Drive to overseeing complex AV/catering needs and executing flawless, multi-leg global travel itineraries.
High-Stakes Communication & Ambassadorship: Serve as a poised and professional liaison for the CEO’s office, building rapport with global leaders and handling highly sensitive, confidential information with absolute discretion.
Operational & Financial Stewardship: Drive administrative efficiency by overseeing the end-to-end lifecycle of contracts, purchase orders, and complex expense reporting, ensuring all CEO Office business operations run smoothly and without friction.
Culture & Team Collaboration: Partner with the CEO support team to enhance employee engagement, lead administrative onboarding initiatives, and serve as a mentor and leader within the broader administrative community.
Who You Are
Required Skills and Experience
Bachelor’s degree and 7+ years of progressive administrative and operations experience including direct support of a CEO, C-suite executive, or equivalent leader at Genentech in a large, complex organization, with responsibility for highly confidential and enterprise-sensitive matters.
You must demonstrate high-level judgment, the ability to manage sensitive/confidential information with absolute discretion, and a proven track record of acting as a "thought partner" to leadership.
Mastery of high-volume, multi-time-zone calendar management and the execution of intricate international travel itineraries. You are an expert at anticipating friction points in scheduling and solving urgent travel or technical (AV/Video) issues with a sense of urgency and minimal direction.
Proficient in managing the full lifecycle of administrative workflows, including contract processing (PO/Invoicing), complex expense reporting, and the organization of executive "pre-read" materials within cloud-based systems like Google Drive.
Demonstrated experience leveraging and leading AI innovation as a superuser of AI to streamline operations, elevate administrative excellence, and drive office efficiency.
Deep knowledge of Genentech’s organization, culture, leadership structure, and operating environment with the with demonstrated ability to operate effectively across Genentech and Roche.
Demonstrated ability to operate with a high degree of autonomy, judgment and urgency to navigate complex and non-routine situations and determine appropriate resolution or escalation.
Must have a curious, learning mindset.
Flexibility to work alternative hours and be frequently in office
Ability to travel domestically and internationally as needed to support executive engagements and business priorities.
Preferred
Demonstrated experience including supporting Board of Directors activities.
Demonstrated experience planning and executing visits or engagements involving senior government officials, elected officials, foreign dignitaries, Board members, global CEOs or similarly high-profile external stakeholders, including coordination across protocol, security and internal stakeholder teams.
Demonstrated experience managing and prioritizing executive engagement or speaking requests, including evaluating requests against organizational priorities, developing recommendations and ensuring executive briefing/readiness.
Experience with enterprise-level procurement and IT systems (specifically MyBuy, cSuite, or similar ERP/collaboration tools).
Ability to lead administrative components of employee onboarding and serve as a mentor to the broader administrative community.
CMG experience preferred.
Location
This role is based in South San Francisco and will be a fully in-person role. There are occasional opportunities to work remotely when business needs permit.
The work hours for this role will vary based on the support needed by the CEO’s office. This will include frequent earlier than normal start times or later than normal end times.
Relocation benefits are not available for this posting
The expected salary range for this position based on the primary location of South San Francisco, CA is $118,600 - $220,200 USD Annual. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law. This position is eligible to earn incentive compensation that is calculated and paid in accordance with the applicable Incentive Compensation Plan for the role. This position also qualifies for the benefits detailed at the link provided below.
