Job Description

This is a fully onsite role based at our Global Central Laboratory in Highland Heights, KY. We welcome applicants from all locations within the US. Please note that relocation assistance is not provided for this position, and any relocation costs will be the responsibility of the candidate.

  • Must be legally authorized to work in the United States without sponsorship.

  • Must be able to pass a comprehensive background check, which includes a drug screening.

Available Shift:

  • Monday - Friday, 1st shift

The "Logistics Coordinator – SetUp" ensures a high level of support, service, reliability, and availability to internal departments. You will ensure efficient and effective operations of the section.

What you will do:

  • Participate in and support department projects
  • Coordinate, support, and perform logistics and administrative work to support the department
  • Support the day to day operations of the logistics study setup
  • Be responsible for the logistics setup of 75+ studies
  • Ensure timely preparation of import permit documents and provide them to Sponsor/CRO and/or Importer of Record
  • Ensure all logistics aspects are considered for Sponsors/CRO and Site Services during the set-up phase of a study
  • Monitor and maintain the logistics set up of studies, monitor any communication related to database updates and implement changes when required
  • Provide daily interaction with clients/CRO in preparing proforma invoices for import permits and approvals to release supply orders as well as 3rd Party Proforma communication to ensure orders and samples are shipped accurately
  • Maintain Manufacture List, courier contact sheets, and special account set ups
  • Attend internal study protocol meetings and report to the team about supply and/or courier set up requirements working closely with Project Manager and/or designee
  • Support the site services logistics coordinators
  • Coordinate the review and action required on custom reports (request, review, action/follow up)
  • Support in the investigation and solving of Quality Events (delayed or missing shipments, all courier events and failures)

Education

  • High school Diploma or equivalent and relevant formal academic / vocational qualification

Experience

  • Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable to 2 years)

  • Preferred experience with general logistics experience with clinical trials.


In some cases an equivalency, consisting of a combination of appropriate education, training and/or directly related experience, will be considered sufficient for an individual to meet the requirements of the role.

  • Excellent client and phone service skills
  • Knowledge of Good Clinical Practices and laboratory principles: pre-analytical, analytic and post-analytic influences on specimens and results
  • Intermediate level of computer literacy
  • Accurate data entry skills
  • Superior analytical, interpersonal and time management skills
  • Excellent verbal communications and customer service skills in the English language (additional languages are an advantage)
  • Critical thinking and problem-solving skills to support quality decision making
  • Proven negotiation and problem resolution skills
  • Maintains confidentiality of client protocols and study data
