Job Description

The Sr Facilities Coordinator provides comprehensive administrative and operational support to the Facilities team, contributing to the efficient management of workplace services and ensuring a safe, compliant, and well-maintained working environment.

This role works closely with Facilities, EHS, Procurement, Finance, Human Resources, IT, Site Leadership and external service providers to support daily operations across the site.

Key Responsibilities

  • Develop, implement and manage the Facilities management plan for the office, including the management of all running contracts.
  • Oversee the day to day running of the office.
  • Ensure that the site meets with relevant local and international legislation.
  • Ensure that local facilities policies and procedures are kept up to date.
  • Ensure that the Health and Safety guidelines and all associated policies and procedures are kept up to date.
  • Provide administrative support to other functions such as Environmental Health & Safety, HR and IT
  • Maintain accurate electronic and physical records in accordance with company policies.
  • Support office moves, onboarding/offboarding, office, cleaning and kitchen supplies, and general workplace services.
  • Assist with preventive maintenance planning, business continuity, and emergency preparedness activities.
  • Shall act as a liaison officer between the local enforcing agencies and PPD, ensuring that all appropriate action is taken regarding inspectors’ recommendations.
  • Prepare and submit monthly reports to Upper Management detailing all necessary information.
  • Supervise space / move management.
  • Participation to regular meetings with Facilities, Country Head, CSE and other departments
  • Should be fluent in Written/Oral French & English
  • Working hours are 37,5 hours per week, from 09:00 am to 5:00 pm

Vendor & Procurement Support

  • Create purchase requisitions and purchase orders.
  • Track invoices and support reconciliation with Finance.
  • Maintain vendor documentation, contracts, and service records.
  • Coordinate contractor visits while ensuring compliance with site access and safety requirements.
  • Liaise with external service providers to ensure timely service delivery.

Customer Service

  • Build strong relationships with employees, contractors, and vendors.
  • Communicate workplace updates and maintenance activities while providing responsive, customer-focused support.
