Job Description

About the Role

The Global Process Manager – Intake to Contract (Senior Manager) supports the global management, operational performance, and continuous improvement of Takeda’s Need-to-Contract (Intake to Contract) process. Reporting into the Procurement Center of Excellence, this role helps translate the strategic direction established by Procurement Global Process Ownership into practical process standards, system requirements, user guidance, and continuous improvement initiatives.

As a global process subject matter expert, you will work across Procurement, Takeda Business Solutions, DD&T, Legal, Third-Party Risk Management, Finance, and business stakeholders to maintain compliant and efficient processes, support procurement technologies, coordinate process and system enhancements, and improve the experience for users and Procurement teams worldwide. You will play a key role in ensuring operational excellence while driving adoption, standardization, simplification, and continuous improvement across the Intake-to-Contract journey.

How You Will Contribute

  • Support the ongoing operation and continuous improvement of the global Need-to-Contract process, connecting business-need identification, intake, guided buying, sourcing, and contracting into a seamless user experience.
  • Serve as a global process subject matter expert and operational point of contact for Intake to Contract, providing guidance on process standards, controls, workflows, and day-to-day process inquiries.
  • Maintain and enhance global Need-to-Contract process documentation, procedures, controls, taxonomy, and user guidance in alignment with Source-to-Pay standards and Takeda quality requirements.
  • Execute process priorities and improvement initiatives established by Procurement Global Process Ownership, translating strategic direction into actionable requirements, workplans, and deliverables.
  • Support the design and continuous improvement of guided buying capabilities to ensure users are directed to the appropriate purchasing channels, sourcing support, approval flows, contracting activities, and risk-management processes.
  • Coordinate day-to-day administration and functional support for procurement technologies, including guided buying, intake management, eSourcing, and contract management platforms.
  • Partner with product owners and technical teams to support system operations, enhancements, and ongoing process optimization.
  • Monitor system performance, integrations, adoption levels, and data quality, identifying trends and escalating recurring or high-impact issues through established governance channels.
  • Triage system incidents and enhancement requests, assess business impacts, define requirements, and coordinate resolution with technical teams, service-delivery partners, and process owners.
  • Support system configuration updates, testing cycles, releases, and post-deployment stabilization activities, including user acceptance testing, defect tracking, readiness assessments, and validation of business outcomes.
  • Contribute to procurement master data governance and data-quality initiatives, ensuring accurate and reliable process execution.
  • Analyze process performance, user feedback, service metrics, and operational pain points to identify opportunities for simplification, standardization, automation, efficiency, and risk reduction.
  • Manage assigned process and technology improvement initiatives across Procurement, Takeda Business Solutions, DD&T, Legal, Finance, Ethics & Compliance, Third-Party Risk Management, and business functions.
  • Support adoption of global process standards by partnering with regional and local stakeholders and documenting approved business or regulatory variations where necessary.
  • Ensure adherence to organizational policies, sourcing standards, contracting requirements, third-party risk management expectations, and internal control frameworks.
  • Support control reviews, audit activities, and remediation efforts to maintain compliance and operational integrity.
  • Monitor and report process and service performance measures, including cycle time, first-time quality, compliance, channel adoption, system availability, user effort, and user satisfaction.
  • Recommend and coordinate corrective actions to address performance gaps and improve process outcomes.
  • Execute change management and user adoption activities for process and technology changes, including communications, stakeholder engagement, impact assessments, training, readiness, and sustainment activities.
  • Collaborate with subject matter experts to create and maintain process training materials, user guides, knowledge articles, and support resources.
  • Share best practices, reusable methodologies, and lessons learned while coaching process experts, super users, and key stakeholders involved in Need-to-Contract execution.

Preferred Qualifications

  • Bachelor’s degree in Business, Supply Chain, Procurement, Law, Finance, Engineering, Information Systems, or a related field required; advanced degree preferred.
  • 7+ years of progressive experience in procurement, sourcing, contracting, procurement operations, procurement technology, or process management.
  • Experience within pharmaceutical, life sciences, or other highly regulated industries preferred.
  • Strong understanding of the Source-to-Pay lifecycle and the interactions among demand intake, guided buying, sourcing, contracting, third-party risk management, purchasing, and downstream operations.
  • Demonstrated experience supporting and improving cross-functional processes within a global or regional governance framework.
  • Hands-on experience with procurement technology platforms, preferably SAP Ariba or similar guided-buying, procurement workflow, eSourcing, and contract management tools; experience with Oro and Zip is advantageous.
  • Familiarity with ERP integrations, procurement analytics, and digital procurement ecosystems.
  • Experience supporting system administration, incident management, business requirements gathering, testing, release management, data quality, and user adoption initiatives.
  • Ability to translate business needs and process-owner direction into practical procedures, system requirements, improvement plans, and implemented solutions.
  • Strong user and customer experience mindset, with the ability to simplify processes while balancing compliance, risk management, agility, and value creation.
  • Strong analytical, organizational, and problem-solving skills with the ability to identify root causes, prioritize actions, and drive measurable outcomes.
  • Proven ability to coordinate and influence cross-functional stakeholders within complex global matrix organizations without direct authority.
  • Effective communication, facilitation, training, and stakeholder management skills.
  • Experience supporting adoption of new processes, technologies, and ways of working.
  • Ability to manage multiple priorities, navigate ambiguity, and deliver results in a dynamic environment.
  • Business proficiency in English required; additional languages are considered an asset.

Preferred Certifications

  • Professional procurement or supply management certification (e.g., CIPS, CPSM, or equivalent) preferred.
  • Process excellence, project management, or change management certification (e.g., Lean Six Sigma, PMP, Prosci, or equivalent) preferred.
