We are looking for a highly organized and proactive Office Manager to support senior leadership while overseeing the smooth daily operations of our office. This role combines strategic executive support with hands-on workplace management, ensuring both our leaders and employees have what they need to do their best work. The ideal candidate thrives in a fast-paced environment, can seamlessly switch between high-level executive coordination and operational problem-solving, and takes pride in creating an exceptional workplace experience.


Key job responsibilities
Executive Support
-Manage complex calendars for senior leaders, proactively prioritizing meetings, resolving conflicts, and ensuring leaders are prepared with agendas and materials
-Coordinate domestic and international travel arrangements, including flights, accommodations, visa processing, and expense reconciliationOrganize leadership meetings, all-hands, offsites, and team events; prepare agendas, capture action items, and drive follow-through
-Handle confidential information including organizational changes, personnel matters, and strategic initiatives with the highest level of discretion

Office & Facilities Management
-Oversee day-to-day office operations, including space planning, seating arrangements, and maintenance to ensure a productive and welcoming work environment
-Source, negotiate, and manage vendor relationships for office supplies, catering, cleaning, security, and building services
-Develop and manage the office operations budget, track expenditures, process invoices, and identify cost-saving opportunities
-Manage visitor registration, badge access, mail/package distribution, and front desk operations
-Maintain inventory of office supplies and equipment; coordinate with IT for hardware setup and troubleshooting
-Ensure compliance with local health and safety regulations, manage emergency procedures, and conduct safety drills
