Job Description
The KT PMO is responsible for coordinating and managing all Transition, Knowledge Transfer (KT)
planning and execution activities within a transition wave or BU/BF scope. The role ensures that KT
activities are structured, scheduled, tracked, and completed in line with transition milestones, enabling
GCM teams to achieve the operational readiness and capability required to deliver at steady state.
Accountabilities:
KT Planning & Scheduling
- Support and maintain comprehensive KT plans aligned with transition wave timelines and milestones
- Support the Functional Transition leads and Transition Wave Managers on all aspects of transition
- Define KT schedules, maintain list of required SMEs, and coordinate participant availability across sending and receiving teams
- Ensure KT plans cover all in-scope processes, systems, and responsibilities within the assigned wave
KT Execution Coordination
- Coordinate and track day-to-day KT activities across all phases, including shadowing, reverse shadowing, and documentation completion
- Monitor KT progress against plan, track completion rates, and flag delays or readiness gaps to the Transition Functional Lead or Transition Wave Manager
- Facilitate KT sessions and ensure all required participants are engaged and informed
Readiness Tracking & Reporting
• Track KT readiness against defined milestones and stage-gate criteria
• Maintain up-to-date KT status reports and dashboards for governance forums and the Transition Functional Lead
• Ensure structured readiness testing (SRT) inputs are captured and reported accurately
Documentation & Sign-Off Management
- Ensure all KT deliverables (SOPs, process maps, training materials, and work instructions)are completed, reviewed, and signed off within agreed timelines
- Maintain a central repository of KT documentation and supporting evidence
Issue Resolution & Escalation
- Identify and track KT-related issues, gaps, and risks, escalating unresolved items to the Transition Functional Lead or Transition Wave Manager
- Coordinate issue resolution across SMEs, GCM delivery teams, and functional stakeholders
Education & Competencies (Technical and Behavioral):
Experience
- 3+ years of experience in project coordination, PMO, or knowledge management roles within global organizations
- Experience supporting knowledge transfer activities in transition, shared services, or GBS/GCC environments preferred
- Exposure to transition planning, process documentation, and operational readiness activities
Technical Competencies
- Strong project coordination and tracking skills, with ability to manage multiple workstreams simultaneously
- Ability to develop and maintain KT trackers, readiness dashboards, and structured governance reporting
- Proficiency in project tracking and collaboration tools
- Familiarity with transition methodologies, KT frameworks, and stage-gate governance
Behavioral Competencies
- Highly organized with strong attention to detail and ability to manage multiple priorities simultaneously
- Clear and proactive communicator with strong interpersonal skills across diverse, global teams
- Results-oriented mindset with strong attention to delivery commitments and accountability
Education
- Bachelor’s degree required
