Brief Job Profile Description


The Executive Assistant & HR Representative provides high-quality administrative and organizational support to the General Manager while supporting the effective delivery of operational HR activities.
The role acts as a trusted point of coordination between the General Manager, employees, managers, internal functions, and external stakeholders. It manages complex scheduling, communications, meetings, documentation, and business priorities with a high degree of confidentiality. In parallel, the role supports day-to-day HR processes, payroll-related coordination, and the consistent implementation of HR policies and procedures.
The position requires strong organizational capability, attention to detail, discretion, and the ability to balance executive support responsibilities with operational HR priorities.
Typical Accountabilities


Executive and Administrative Support


•    Provide comprehensive administrative and organizational support to the General Manager, enabling effective management of business priorities.
•    Manage the General Manager’s calendar, appointments, meetings, and changing priorities, proactively identifying and resolving scheduling conflicts.
•    Coordinate internal and external meetings, leadership events, conferences, and business activities.
•    Arrange domestic and international travel, including transportation, accommodation, itineraries, and other logistical requirements.
•    Monitor and manage routine correspondence and inquiries, responding or redirecting requests as appropriate.
•    Prepare and coordinate documents and briefing materials required for leadership meetings and business reviews.
•    Handle confidential, sensitive, and business-critical information with discretion and sound judgment.
•    Act as a key liaison between the General Manager and internal teams, senior leaders, international colleagues, and external stakeholders.
•    Track decisions, commitments, and follow-up actions arising from meetings and leadership discussions.
•    Support the coordination of business projects and cross-functional initiatives as required.
•    Establish and maintain efficient administrative processes, filing systems, trackers, and working practices.
•    Independently organize and prioritize workload to ensure that deadlines are met and outputs are accurate.
•    Support the organization of employee meetings, leadership communications, town halls, and company events.

Operational HR Support


•    Support the day-to-day administration of local HR policies, processes, and employee programs in line with established guidelines.
•    Support communication between employees and managers regarding routine HR operational questions.
•    Support employee lifecycle activities such as onboarding, transfers, and offboarding.
•    Prepare and maintain HR documentation, employee correspondence, forms, trackers, and personnel records.
•    Support the timely and accurate collection of employee information required for payroll and benefits administration.
•    Coordinate with relevant internal teams and external providers to support payroll, compensation, benefits, and other HR operational processes.
•    Support recruitment administration, including interview coordination, candidate communication, documentation, and onboarding preparation.
•    Maintain accurate employee information in HR systems and support routine data-quality checks.
•    Help employees and managers understand applicable HR policies and processes, escalating complex or sensitive matters to the appropriate HR contact.
•    Identify administrative inefficiencies and recommend practical improvements to HR processes and employee services.
•    Support communication and administrative coordination during organizational changes.
•    Work closely with HR colleagues and line managers to ensure consistent and timely delivery of HR activities.
•    Ensure that personal data and confidential employee information are handled appropriately and securely.

Qualifications and Experience
Essential
•    Bachelor’s degree in Human Resources, Business Administration, Management, or a related discipline.
•    Relevant experience in executive assistance, senior-level administrative support, HR operations, or a combined business support role.
•    Experience supporting a senior executive or leadership team.
•    Practical understanding of administrative processes and day-to-day HR operations.
•    Ability to manage calendars, meetings, travel arrangements, correspondence, and multiple priorities.
•    Strong written and verbal communication skills in English and Turkish.
•    High level of discretion and integrity when handling confidential business and employee information.
•    Strong attention to detail, planning, organization, and follow-through.
•    Ability to work independently, exercise professional judgment, and recognize when escalation is required.
•    Strong proficiency in Microsoft Office applications and confidence in using HR, collaboration, and administrative systems.
•    Ability to communicate HR policies and processes clearly and professionally to employees and managers.
•    Strong stakeholder-management and interpersonal skills.
Desirable
•    Previous experience in a multinational, matrixed, or highly regulated organization.
•    Experience supporting a General Manager, Country President, or equivalent senior leader.
•    Experience coordinating payroll inputs, benefits administration, recruitment, learning activities, or employee lifecycle processes.
•    Experience contributing to projects or process-improvement initiatives.
•    Relevant HR, business administration, or executive-assistance certification.
•    Experience working with international stakeholders.
•    Experience organizing leadership meetings, employee events, or company-wide communications.
