As a Principal Administrative Business Partner, you will drive operational excellence across Pharma R&D in South San Francisco, specifically for Regulatory Affairs and China Clinical Development. You will act as a strategic partner to leadership, facilitating cross-departmental collaboration, managing high-level stakeholder relationships, and leveraging your expertise in financial and organizational processes to streamline operations and influence strategy.
Job Responsibilities
Leads administrative efforts across multiple departments and with external parties. Displays expert knowledge of financial management processes, coordinating the addition of new vendors, managing purchase order creation, invoice processing, and accruals. Develops new administrative procedures and policies to enhance efficiency and effectiveness.
Stakeholder Management: Manages high-level relationships with senior executives and important external partners. Acts as a key liaison between different departments, ensuring cohesive and efficient operations.
Impact/Strategy: Directly influences organizational strategy through expertise in administrative operations. Identifies and drives long-term efficiencies and improvements that align with the company's strategic goals.
Business/Technical ability: Applies expert-level proficiency in a wide range of business and technical tools. Leverages deep knowledge of organizational processes, systems, and strategic administrative management.
Manage executive operations by overseeing complex calendar schedules, resolving booking conflicts, and coordinating key meetings across multiple time zones.
Drive operational efficiency by independently executing high-priority administrative tasks and logistical needs in alignment with strategic goals..
Lead event coordination for senior leadership meetings, department offsites, global summits, and large-scale conferences from concept to flawless execution.
Facilitate cross-functional communication with internal and external stakeholders to guarantee executive readiness for critical decisions.
Coordinate onboarding and offboarding processes to ensure seamless transitions and fast department integration for new team members.
Foster employee engagement by partnering with leadership to evaluate team dynamics, share constructive feedback, and build an inclusive workplace culture.
Direct travel and expense management by structuring complex global travel itineraries and filing accurate, timely expense reports
Who you are
Education / Experience
You hold a Bachelor’s degree (or equivalent professional experience) paired with a minimum of 5 years of administrative support experience at the executive level.
Proven track record of managing high-level relationships with senior executives and external partners.
Experience in developing new administrative procedures, policies, and driving long-term efficiencies that align with strategic goals.
An independent self-starter: You possess a proven ability to prioritize critical tasks, manage shifting priorities, and navigate complex situations with minimal direction.
An exceptional communicator: You exhibit strong written and verbal communication skills alongside the maturity to interact confidently with senior leadership.
A master organizer: You display meticulous attention to detail and have a proven track record managing large-scale event logistics and vendor relations.
Technical Skills
You maintain deep expertise in Google Suite (Gmail, Google Calendar, Sheets, Slides, Meet) and Zoom, Monday.com with an innate ability to quickly master new digital tools.
Expert knowledge of financial management processes (e.g., vendor coordination, purchase order creation, invoice processing, and accruals).
Deep knowledge of organizational processes, systems, and strategic administrative management.
Additional Qualifications
Strong ability to mentor and provide guidance to other team members to foster a culture of continuous improvement.
Exceptional problem-solving skills to navigate complex and ambiguous situations with innovative solutions.

The expected salary range for this position based in California is $86,900-$161,500 USD Annual. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law. A discretionary annual bonus may be available based on individual and Company performance.
