From day one, this role will focus on keeping leadership and the broader team organized, informed, and on task. High-level calendar management and scheduling will require extremely high standards and attention to detail, as well as superb time management and organizational skills.
You should be comfortable juggling multiple priorities, have the ability to manage last-minute escalations with grace, and serve as a collaborative partner to other Executive Assistants throughout Amazon Payments to get things done.
To be effective in this role, you'll need to go beyond the calendar, developing a genuine understanding of business priorities, team dynamics, and how work gets done. The best EAs in this org don't wait to be asked; they anticipate what's needed and move first.
This role will also own event planning end to end, from informal culture-building moments in the office to large-scale summits with external partners and senior leaders across Amazon.
You will need to be a self-starter proactively working through ambiguity, thinking big about the organization, looking around corners, and proposing ideas and solutions before you're asked, including new mechanisms or ways of working that will help strengthen the org. In doing so, you will serve as a simplifier for leadership and the broader team.
This role requires professionalism, integrity, and discretion in handling confidential information — including sensitive partner relationships, business strategy, and personnel matters. You should be resourceful, forward-thinking, and a creative problem solver who brings calm to complexity. We are a highly collaborative team, and in this role we are seeking someone who is both comfortable working independently and will actively engage in helping to shape and nurture our team culture.
Key job responsibilities
- Manage complex, high-volume calendars for leadership across multiple time zones; prioritize and resolve scheduling conflicts with sound judgment and minimal direction
- Responsible for managing global team seating, including coordinating office moves, maintaining accurate seating plans, to ensure team members have workspace ahead of their start date or relocation.
- Book domestic and international travel in compliance with Amazon travel policy; prepare detailed itineraries and manage real-time changes
- Process travel and business expenses accurately and on time in Concur
- Coordinate logistics for team meetings, all-hands, offsites, and external-facing events; prepare agendas, track action items, and manage follow-ups
- Support speaker coordination, run-of-show planning, and on-site logistics for larger events and summits
- Act as a point of contact for internal and external stakeholders on behalf of leadership; build strong relationships with peer EAs across Amazon Payments and partner organizations
- Maintain org distribution lists, team rosters, headcount tracking, and shared resources
- Coordinate purchase orders and support budget tracking as needed
- Identify process gaps and proactively implement improvements to team operations
- Handle confidential information with the highest level of professionalism and discretion
About the team
The Amazon B2B Payments & XBorder (ABPX) team is responsible for creating and operating a worldwide collection of products and services to drive Amazon's Flywheel by enabling seamless business payments. ABPX focuses on Pay by Invoice, Amazon Lending, Seller Wallet, and Business Payment Acceptance. The team delivers credit products for small businesses such as lending services, invoicing service, and line of credit that ease the working capital needs for sellers and business buyers.

The base salary range for this position is listed below. Your Amazon package will include sign-on payments and restricted stock units (RSUs). Final compensation will be determined based on factors including experience, qualifications, and location.
