About the Role

As a Tender Management Specialist, you'll play a key role in supporting business growth across the EMEA region by managing the end-to-end tender process for public and private opportunities.

Working closely with Sales, Legal, Finance, Customer Care, and Commercial teams, you'll coordinate tender activities from opportunity identification through submission, ensuring every response is accurate, compliant, and delivered on time.

This is a highly collaborative role that combines project coordination, stakeholder management, commercial awareness, and operational excellence. You'll work across multiple countries, balancing competing priorities while ensuring compliance with customer requirements and internal policies.

What You'll Do

  • Manage the full tender lifecycle, including RFIs, RFQs, RFPs, and contract renewals

  • Review tender documentation to identify customer requirements, commercial risks, and submission timelines

  • Prepare, coordinate, and submit accurate, compliant, and high-quality tender responses

  • Collaborate closely with Sales, Legal, Finance, Customer Care, and Commercial teams to gather information and ensure timely submissions

  • Review contractual terms and escalate potential commercial or legal risks where appropriate

  • Maintain accurate tender documentation, records, and customer portal information

  • Monitor tender pipelines, deadlines, and submission milestones

  • Support the implementation of awarded contracts and ensure a smooth handover to operational teams

  • Participate in post-bid reviews and identify opportunities to improve future tender processes

  • Contribute to continuous improvement initiatives that enhance quality, efficiency, and customer satisfaction

What We're Looking For

  • Fluency in a European language (French, German, Spanish, Italian etc) and English at a professional level, both written and spoken

  • Ideally around 5 years' previous experience in Tender Management, Bid Management, Contract Administration, Customer Service, Commercial Operations, or a similar environment

  • Strong organisational skills with the ability to manage multiple deadlines simultaneously

  • Excellent communication and stakeholder management skills

  • Strong analytical thinking and attention to detail

  • Ability to interpret documentation, identify risks, and work within structured processes

  • Customer-focused, proactive, and solution-oriented mindset

  • Comfortable working independently while collaborating across an international matrix organisation

  • Good knowledge of Microsoft Office applications, particularly Excel

A Bachelor's degree in Business, Commercial Management, or a related field is preferred; however, candidates with relevant experience and a strong track record will also be considered.

Nice to Have

  • Experience working with public or private tenders

  • Bid Management or Contract Administration experience

  • Knowledge of German or French public procurement regulations

  • Familiarity with EU procurement processes and documentation (ESPD/DGUE)

  • Experience with e-procurement platforms such as MEPA

  • Experience working within multinational or Shared Services environments
