Job Description

The work location of this role is hybrid, meaning it will be performed both from home and from a LinkedIn office on select days, as determined by the business needs of the team. 

We are looking for an Executive Assistant to provide administrative and organizational support to the senior leaders of the APAC Talent Solutions leadership team. In this role, you’ll work directly with our Director and Senior Directors and will be responsible for a mix of administrative and operational activities. The ideal candidate will be proactive, organized, able to maintain strict confidentiality of corporate and personal information, and bring a blend of professionalism, passion and flexibility to the role.  

Responsibilities:  

  • Plan, organize and manage executive calendar (resolve conflicts and protect / align time with priorities)  
  • Organize and ensure content preparedness for internal and external meetings and special events, including all hands, speaking engagements, customer events and team building  
  • Apply judgment with full understanding of urgency and priorities of the business, routinely needing to multi-task with little to no direction  
  • Anticipate critical rhythm of the business initiatives and manage changes effectively   
  • Coordinate all domestic and international travel arrangements   
  • Manage and reconcile expense reports, purchase orders and procurement requisitions in accordance with budget and department and company-wide policies and standards  
  • Collaborate closely with multiple internal key stakeholders to ensure the smooth daily operations  
  • Partner with communications and public relations teams and others on company-wide and external communications  
  • Provide back-up support for other executive assistants when needed and champion the admin community, such as partnering closely with Exec EA team to lead global Admin all hands meetings  
  • Proficiently answer, screen and route internal and external correspondence, requests, subpoenas and other communications  
  • Act as a point of contact with workplace services to meet facility needs for the team  
  • Take leadership role to improve structure, efficiency, and execution of the organization  
  • Drive changes in systems, tools and processes, and establish and share best practices  
  • Maintain an advanced degree of confidentiality along with excellent judgement, discretion and a high degree of maturity/professionalism

Qualifications

Basic Qualifications

  • 5+ years of experience in a senior and/or executive administrative support role, including at least 5 years supporting VP-level leaders and above.
  • Advanced proficiency in Microsoft Office applications (Outlook, Word, PowerPoint, and Excel), with experience using cloud-based collaboration tools such as SharePoint.

Preferred Qualifications

AI & Digital Fluency:

  • Ability to understand, adopt, and strategically leverage AI and technology tools to improve productivity and administrative efficiency, without requiring technical or coding expertise.
  • Experience leveraging social media platforms for brand or talent engagement, with basic video editing skills to support digital content creation.
  • Proficiency in organising and managing virtual meetings using Microsoft Teams and Zoom.

Executive Partnership & Stakeholder Management

  • Experience serving as a trusted business partner to C-suite executives.
  • Proven ability to build effective relationships with senior leaders and external stakeholders, anticipate needs, and take independent action.
  • Strong understanding of organisational dynamics and cross-functional ways of working

  • Demonstrated resourcefulness in identifying issues, navigating ambiguity, and developing practical, creative solutions.
  • Strong capability to evaluate complex situations, analyse variable factors, and drive outcomes through resourcefulness, adaptability, and creativity.
