Responsibilities
Executive Support & Calendar Operations
Serve as a trusted partner to VP of Engineering by managing complex calendar, aligning priorities, and optimizing time across competing business demands.
Anticipate scheduling needs, resolve conflicts proactively, and ensure the executive's time is allocated effectively against key business objectives.
Prepare leader for meetings by coordinating agendas, briefing materials, action items, and follow-up plans.
Partner across teams, organizations, and executive offices to coordinate leadership meetings, all-hands, offsites, morale events, and other engagement activities.
Drive end-to-end planning and execution for team events, ensuring timelines, logistics, communications, and deliverables are completed successfully.
Business Operations & Rhythm of Business
Support and execute the Engineering team's Rhythm of Business (ROB), ensuring recurring processes, reviews, and leadership cadences run efficiently and consistently.
Exercise sound judgment when handling sensitive or confidential information and communications.
Collaborate with executive administrators, business managers, and stakeholders to continuously improve operating rhythms and business processes.
Apply business context and prioritization skills to manage competing requests, navigate scheduling challenges, and ensure leaders remain informed of key decisions and tradeoffs.
Track deliverables, follow-ups, and organizational commitments to help drive accountability across the leadership team.
Team Operations, Travel & Resource Management
Partner with leaders, Business Managers, HR, Finance, and recruiting teams to support organizational operations, including headcount processes, hiring activities, onboarding, and offboarding.
Coordinate domestic and international travel, ensuring seamless logistics while complying with company travel policies and destination-specific requirements.
Build detailed travel itineraries, meeting agendas, and engagement plans to maximize efficiency and impact during business travel.
Support budget and operational planning activities, including expense management, purchase orders, and tracking of team-related investments.
Maintain distribution lists, security groups, and organizational data to support effective team collaboration and communication.
Assist with workplace technology, equipment coordination, and other administrative operational needs across the organization.
Space Planning & Workplace Coordination
Partner with facilities, space planners, and administrative teams to support seating strategies, office moves, space utilization, and workplace planning initiatives.
Maintain accurate organizational space data and help coordinate workspace changes, meeting room readiness, and team growth requirements.
Support a productive and inclusive workplace experience by helping identify and address space-related needs across the team.
Culture & Employee Experience
Foster a positive team culture through thoughtful planning and execution of employee engagement initiatives, recognition programs, community events, and team-building activities.
Partner with leaders to create meaningful experiences that strengthen connection, collaboration, and inclusion across geographically distributed teams.
Qualifications
Required Qualifications:
- 5+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management.
Preferred Qualifications:
- Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
- OR equivalent experience.
Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $31.49 - $51.97 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $42.93 - $59.33 per hour.
