The Contract Administrator will support construction contract governance, documentation integrity, commercial administration, and change management across large-scale construction projects.



We are seeking an organized, detail-oriented Contract Administrator to join our Construction Contracts team supporting the delivery of large-scale construction projects.

 

This role plays a critical part in maintaining contractual governance, documentation integrity, and commercial administration throughout the project lifecycle. The successful candidate will support contract execution activities, manage contract records, coordinate contractual communications, and enable effective change management processes while ensuring compliance with company policies and project requirements.

Responsibilities

Contract Administration & Governance

  • Maintain contractual records and documentation throughout the project lifecycle.
  • Administer contract management systems, ensuring data accuracy and completeness.
  • Coordinate contract execution workflows and maintain fully executed contract files.
  • Support compliance with contractual obligations, governance requirements, and internal approval processes.
  • Track contractual deliverables, notices, obligations, and key contract milestones.

Change Management Support

  • Maintain change order and variation logs across assigned projects.
  • Coordinate collection and organization of supporting documentation related to changes and claims.
  • Assist Contract Leads with preparation, routing, and tracking of change order packages.
  • Monitor change management workflows and escalate overdue actions or approvals.
  • Ensure all approved changes are accurately reflected within contract management systems and reporting tools.

Contractual Correspondence & Documentation

  • Draft, review, format, and issue contractual correspondence under the direction of Contract Leads.
  • Maintain notice registers and correspondence logs.
  • Coordinate review and approval workflows for formal contractual communications.
  • Ensure documentation is filed and accessible in accordance with records management requirements.
  • Support preparation of meeting minutes, action logs, commercial summaries, and stakeholder updates.

Commercial Administration

  • Support invoice validation and payment administration processes.
  • Track contract values, approved changes, commitments, and commercial status indicators.
  • Assist in reconciliation of contractual documentation with cost and project control records.
  • Monitor contract compliance and identify discrepancies requiring commercial review.
  • Support preparation of monthly commercial reporting and project dashboards.

Risk, Audit & Compliance Management

  • Support maintenance of contract risk registers and issue logs.
  • Assist with commercial audits and compliance reviews.
  • Ensure contractual records are complete, current, and audit ready.
  • Monitor insurance certificates, bonds, warranties, and other contractual requirements.
  • Support implementation of corrective actions arising from audits, reviews, or lessons learned activities.

Stakeholder & Team Support

  • Coordinate with project teams, contractors, consultants, procurement, cost management, and legal stakeholders.
  • Serve as a key administrative point of contact for contractual documentation and workflow coordination.
  • Support commercial review meetings and maintain accurate records of actions and decisions.
  • Escalate documentation gaps, process issues, and contractual administration concerns as appropriate.
  • Contribute to a collaborative and customer-focused project delivery environment.

Closeout & Continuous Improvement

  • Support contract closeout activities and final documentation completion.
  • Coordinate collection and archiving of final contractual records.
  • Track completion of contractual obligations, warranties, and outstanding actions.
  • Assist with lessons learned and continuous improvement initiatives.
  • Support development of standardized templates, trackers, and administration processes.

Other Requirements: 

Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include, but are not limited to the following specialized security screenings: 

  • Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Sourcing and Category Management IC4 - The typical base pay range for this role across the U.S. is USD $97,600 - $188,400 per year. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $125,000 - $206,400 per year.
