About the role
Original posting provided by AstraZeneca
The position collaborates with Manufacturing, Facilities and Engineering, Quality, Warehouse, Procurement, Finance, EHS, suppliers, and service providers to coordinate maintenance resources and materials. The individual communicates constraints, delays, schedule changes, compliance risks, and priorities; supports issue resolution; and maintains accurate, traceable records.
The role leads scheduled facility and maintenance shutdowns by defining scope, priorities, schedules, resources, materials, permits, access, and readiness requirements. During execution, the individual coordinates cross-functional teams, escalates safety, quality, resource, and schedule risks, manages plan changes, provides updates, and supports the safe turnover, testing, release, and restart of affected systems and areas. Afterward, the individual captures lessons learned, reconciles work-order and material data, closes open actions, and recommends improvements. In a regulated GMP environment, the role ensures that materials, storeroom transactions, work orders, shutdowns, and planned maintenance comply with approved procedures, safety and quality standards, data-integrity principles, and applicable regulations.
Key Responsibilities
Planner/Scheduler Responsibilities
- Develop and communicate integrated schedules for preventive and corrective maintenance, calibration, facilities, utilities, and reliability work.
- Plan work orders by confirming scope, labor, duration, tools, permits, materials, procedures, safety requirements, and access.
- Coordinate work across site functions to minimize disruption to production and critical operations.
- Align maintenance with production schedules, cleaning, environmental monitoring, equipment availability, and approved work windows.
- Confirm parts and materials are available before scheduling work, and escalate constraints.
- Maintain accurate work-order, planning, scheduling, and completion data in the CMMS.
- Develop daily and weekly schedules, including priorities, assignments, contractors, and resource loading.
- Track schedule adherence, backlog, overdue work, PM compliance, emergencies, and interruptions; report findings and recommendations.
- Initiate non conformance for overdue / past due PM work orders outside of grace period.
- Schedule work in GMP and controlled areas in accordance with site procedures.
- Verify permits, lockout/tagout, risk assessments, instructions, gowning, access, and decontamination requirements before work begins.
- Improve preventive maintenance, reduce reactive work and downtime, optimize labor, and increase spare-parts availability.
- Prioritize corrective work based on equipment criticality, safety, quality, production, and business risk.
- Participate in planning meetings and communicate changes, risks, constraints, and recovery actions.
- Lead plans for shutdowns, major equipment work, facility projects, and commissioning or qualification activities.
- Ensure completed work orders capture labor, materials, failure codes, downtime, and technical details for reliability analysis.
- Prepare maintenance and inventory performance metrics, including compliance, backlog, work mix, stockouts, accuracy, and downtime.
- Develop and track KPIs to assess performance, identify risks and trends, and drive continuous improvement.
MRO Storeroom
- Manage daily MRO storeroom operations and maintain critical parts, tools, consumables, and supplies for cell therapy manufacturing and facilities.
- Receive, inspect, label, store, and issue MRO materials in compliance with procedures, GMP, safety, and inventory controls.
- Maintain accurate inventory records in the CMMS, such as BMRAM or SAP Maintenance.
- Set stock levels, reorder points, safety stock, and critical-spare requirements based on risk, usage, lead times, and production needs.
- Monitor stockouts, obsolete or excess inventory, and long-lead items; escalate risks to maintenance, manufacturing, or patient supply.
- Process material requests, reservations, issues, returns, and transfers with full traceability.
- Maintain organized storage and required controls for temperature, humidity, cleanliness, shelf life, expiration, and material compatibility.
- Perform cycle counts and physical inventories, investigating and resolving discrepancies per site procedures.
- Maintain material master data, including descriptions, suppliers, part numbers, units, lead times, criticality, and approved alternatives.
- Help qualify replacement parts and equivalent materials with Engineering, Maintenance, Quality, and Procurement.
- Manage the return, repair, calibration, refurbishment, and disposal of maintenance tools, instruments, and components.
- Document material movements and inventory activities in compliance with GMP, data-integrity, environmental, health, and safety requirements.
- Coordinate with Procurement and suppliers to expedite critical materials and update stakeholders.

- Experience in GMP-regulated pharmaceutical, biotechnology, cell or gene therapy, medical device, or similar manufacturing is preferred.
- Experience with CMMS platforms such as SAP, Blue Mountain, Veeva, or equivalent.
