Job Description
Role Summary
The Office Manager & Executive Assistant will provide comprehensive executive support to the Cluster Head, Eastern Africa & Country Manager, Ethiopia, while ensuring the efficient day-to-day operation of the Ethiopia office. The role serves as the central coordination point for executive administration, office management, leadership governance, travel, events, and selected business operations support. It is designed to enhance organizational effectiveness, enable business leaders to focus on strategic priorities, and support the continued growth of the Ethiopia and Eastern Africa business. This aligns with previously identified needs for executive assistance, office management, leadership meeting support, and operational coordination.
Key Responsibilities:
- Manage executive calendars, meetings, correspondence, travel arrangements, and leadership engagements.
- Coordinate executive and client visits, including logistics, agendas, briefing materials, and follow-up actions.
- Oversee day-to-day office operations, facilities, vendors, supplies, workplace services, and office administration.
- Organize internal meetings, leadership forums, client events, workshops, and employee engagement activities.
- Track leadership actions, maintain governance routines, and coordinate weekly leadership team meetings.
- Support reporting, presentations, pipeline administration, Market Development Fund tracking, and selected business operations activities.
- Coordinate onboarding, office readiness, and administrative support for team members and visitors.
- Maintain high standards of professionalism, confidentiality, and stakeholder management.
Success Measures:
- Efficient management of executive schedules, meetings, and travel.
- Smooth operation of the Ethiopia office and workplace environment.
- High-quality coordination of leadership forums, client events, and executive visits.
- Timely completion of administrative, reporting, and governance activities.
- Improved productivity through effective operational and executive support.
Visa requires at least 3 days in office, expectations of these days will be confirmed by your Hiring Manager.
Qualifications
Qualifications & Experience:
- Bachelor's degree in Business Administration, Management, Communications, or related field.
- 5+ years of experience in office management, executive assistance, business administration, or operations support.
- Experience supporting senior executives in a multinational or fast-paced corporate environment.
- Strong organizational, communication, stakeholder management, and problem-solving skills.
- Advanced proficiency in Microsoft Outlook, Teams, PowerPoint, Excel, and Word.
- Demonstrated ability to manage multiple priorities while maintaining accuracy and confidentiality.
