As Hub Operations Support Coordinator, you will be the operational backbone of the Hub, ensuring seamless day-to-day operations while delivering an exceptional employee and visitor experience. You will coordinate administrative, financial, facility, and engagement activities, helping maintain a high-performing and collaborative workplace environment.


Main Responsibilities

  • Coordinate internal and external visits, including meeting room bookings, catering, transportation, security arrangements, and on-site logistics.
  • Manage visitor experience initiatives, access card requests, and Hub branding materials.
  • Support facility-related activities to ensure a smooth workplace experience.
  • Track Hub budgets, expenditures, and financial allocations.
  • Maintain budget monitoring tools and support financial reporting activities.
  • Participate in budget reviews and P&L discussions to ensure financial accuracy.
  • Maintain accurate headcount records, organizational data, and cost center allocations.
  • Support onboarding and offboarding administrative processes.
  • Generate regular headcount reports and employee data updates.
  • Support stakeholders with PO creation and procurement processes.
  • Maintain PO tracking systems and documentation.
  • Coordinate with vendors and internal stakeholders to ensure timely invoice and payment processing.
  • Coordinate Hub off-sites, team-building activities, and employee engagement initiatives.
  • Manage vendors, logistics, POs, invoices, and attendance tracking for events.
  • Support community programs and maintain employee communication channels.
  • Coordinate onboarding logistics, workspace preparation, technology setup, and orientation sessions.
  • Manage welcome kits, company merchandise, and inventory tracking.
  • Ensure a positive and seamless onboarding experience for new employees.
  • Support leadership meetings through agenda preparation, note-taking, and follow-up actions.
  • Maintain operational documentation, communication lists, and reporting tools.
  • Ensure Business Continuity Plan (BCP) compliance and coordination activities.
  • Monitor hybrid work attendance and support workspace planning initiatives.
  • Build strong partnerships across functions including Digital, People & Culture, Workplace Experience, HSE, and other Hub stakeholders.

About You


Experience

  • 2-3 years of experience in administrative operations, office coordination, workplace services, or a similar support function.
  • Experience managing budgets, purchase orders, vendor relationships, and administrative processes.
  • Demonstrated experience supporting onboarding activities and cross-functional coordination.
  • Experience in event planning, facilities management, or workplace operations is a strong advantage.
  • Ability to manage multiple priorities in a fast-paced, international environment.

Technical - Soft Skills

  • Strong organizational and prioritization capabilities.
  • Excellent communication and stakeholder management skills.
  • Proactive mindset with a strong sense of ownership and accountability.
  • Customer-service orientation and attention to detail.
  • Ability to work independently while collaborating effectively across teams.

  • High level of professionalism and discretion when handling confidential information.
  • Advanced knowledge of Microsoft 365 applications (Excel, Outlook, Teams, PowerPoint, SharePoint).
  • Experience with SAP or similar financial/procurement systems.
  • Knowledge of workplace management tools and employee experience platforms is a plus.
  • Ability to maintain dashboards, tracking tools, inventories, and operational reports.
  • Familiarity with Viva Engage or similar internal communication tools.

Education and languages

  • Bachelor's degree in Business Administration, Industrial Engineering, Communications, or a related field.
  • Additional certifications in Operations, Project Management, Office Administration, or related disciplines are a plus.
  • Advanced English level.
