Job Description

Who are we looking for

The Executive Assistant role is a highly visible, fast‑paced, and rewarding position. The successful candidate will be a proactive and reliable team player with strong judgment and the ability to work independently. They will be adept at managing multiple priorities, meeting deadlines, and navigating a dynamic environment while providing seamless support to multiple executives.


What you will be responsible for

  • Provide comprehensive administrative and calendar support to senior executives.
  • Manage highly confidential information with discretion and professionalism.
  • Exercise discretion and judgment with respect to matters of significance and work collaboratively with others across multiple business lines and regions.
  • Provide end‑to‑end management of executive calendars, coordinating complex, high‑priority meetings with senior internal leaders and external stakeholders, including clients, regulators, and vendor partners.
  • Review, prioritize, and disseminate incoming documents and communications in a timely and accurate manner.
  • Manage senior management visits, client engagements, and external stakeholder interactions, ensuring seamless coordination and professionalism.
  • Adhere to all compliance requirements and proactively identify, mitigate, and manage operational and reputational risks in line with role responsibilities.
  • Coordinate end‑to‑end meeting logistics, including preparation of agendas, presentation materials, handouts, and accurate minute‑taking.
  • Organize meetings and events, managing logistics such as venue bookings and catering arrangements.
  • Administer complex domestic and international travel arrangements, developing detailed itineraries covering meetings, timings, locations, and air, train, and ground transportation.
  • Manage expense administration including maintaining documentation and submitting expenses across multiple expense processes in line with policy.
  • Partner closely with Executive Assistants across the organization to ensure alignment, coverage, and best practices.
  • Interact effectively with senior leaders and internal teams including HR, Finance, IT, and Security to support business needs.
  • Champion a collaborative, inclusive, and high‑performing team culture.
