Job Description
OBJECTIVES / PURPOSE
The Global Total Rewards Program Specialist is responsible for the effective execution, administration, and analysis of Takeda’s global Total Rewards programs, operating within established governance frameworks and financial controls.
The role supports global Compensation, Equity, Benefits, and Total Rewards financial operations through disciplined process execution, data integrity, financial analysis, and vendor coordination. Each role carries a defined primary discipline while operating within a shared global operating model to ensure consistency, compliance, and operational excellence across Takeda.
KEY ACCOUNTABILITIES (GLOBAL – ALL ROLES)
- Execute complex, global Total Rewards operational processes within defined governance frameworks.
- Support annual cycles, recurring programs, and ad hoc initiatives across assigned discipline(s).
- Ensure accuracy, completeness, and control of data across Workday and third‑party systems.
- Prepare standard and ad hoc reporting, analysis, reconciliations, and management materials.
- Partner with Global COEs, HR, Finance, TBS, and external vendors to ensure timely execution.
- Identify operational risks, control gaps, and improvement opportunities; support remediation.
- Maintain documentation, runbooks, and audit‑ready process materials.
- Support internal and external audits, compliance reviews, and governance requirements.
DISCIPLINE‑SPECIFIC ACCOUNTABILITIES
A. Global Compensation – Operations & Reporting
- Support annual global compensation planning cycles, including data preparation, validation, and reporting.
- Administer compensation structures in Workday (job families, job codes, grades, compensation plans).
- Produce recurring and ad hoc compensation reports for leadership, HR, and governance needs.
- Support global recognition program administration.
- Ensure governance, data integrity, and documentation across compensation processes.
Required: Workday experience in compensation administration and reporting
B. Global Equity – Plan Administration
- Provide day‑to‑day operational support for Takeda’s global equity plans.
- Coordinate with equity administrators to support grants, vesting, transactions, and participant activity.
- Support data integration, reconciliation, and reporting across equity platforms and Workday.
- Assist with audit, compliance, and control activities.
- Maintain operational documentation and process controls.
Required: Equity operations experience (EquatePlus / Computershare); Workday a plus
C. Global Benefits – Pension & Retirement Oversight
- Support governance and oversight of global pension and retirement programs.
- Partner with external administrators, actuaries, and internal Finance stakeholders.
- Review financial data related to funding, costs, and liabilities.
- Support audit, compliance, and committee materials.
- Maintain documentation supporting benefit governance and controls.
Required: Strong financial acumen; prior pension or retirement plan experience
D. Global Total Rewards – Financial Operations
- Support annual budget planning, forecasts, and plan‑vs‑actual analysis.
- Perform fringe calculations and allocations of centrally managed expenses.
- Support master contracts, SOWs, and PO execution.
- Manage monthly invoices, accruals, settlements, and year‑end reconciliations with TBS.
- Maintain financial controls, tracking, and audit documentation.
