The Legal Support Specialist 3 is a non-attorney leadership position responsible for serving as an operational lead and subject matter expert for the Legal Support Unit (“LSU”)’s Subpoenas Team. This individual acts as the main support system for junior and mid-level staff members in support of the accurate, timely, and compliant processing of subpoenas handled by the LSU.
This role combines operational queue management, quality assurance through Manager's Control Assessment (“MCA”) reviews, and high-level escalation handling. The Lead serves as the critical bridge between staff members processing subpoenas and the Subpoenas Team manager, other points of internal escalations, in-house counsel, outside counsel, and external requesting parties.
Responsibilities
Responsible for legal support activities related to legal operations, litigation, and discovery
Executes, reviews, processes, and tracks legal documentation, executes and completes varied work requests from multiple sources that may be complex in character and have tight deadlines
Prepares reports and conducts administrative legal work; may contribute to the processing of billing
Maintains detailed records and creates, prepares, and processes legal documentation under direction of in-house counsel
Works closely with team’s manager and Legal peers to complete tasks assigned
Appropriately assesses risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup and its clients and assets by driving compliance with applicable laws, rules, and regulations, adhering to applicable policies, applying sound ethical judgment regarding personal behavior, conduct, and business practices, and escalating, managing, and reporting control issues with transparency.
Qualifications
Experience: 4–6 years of experience in legal operations, subpoena processing, or legal service of process within a financial institution or law firm, with at least 1–2 years in a senior, lead, or supervisory capacity.
Technical Skills:
- Knowledge of legal services processes and legal documentation requirements.
- Strong understanding of the MCA framework or equivalent risk/control self-assessment methodologies.
- Proficiency in MS Office Suite (especially Excel for queue tracking and reporting).
Competencies:
Demonstrated leadership, coaching, and team-building capabilities.
Exceptional problem-solving skills with the ability to make sound decisions under pressure.
Excellent written and verbal communication skills, with the ability to interface effectively with attorneys, external parties, and internal stakeholders.
Uncompromising attention to detail and commitment to data privacy and security.
Education
Bachelor’s degree or equivalent experience; Paralegal Certificate or Legal Operations certification is highly preferred.
