Logistics Associate II

Job Summary

The Logistics Associate II supports day-to-day logistics operations by ensuring accurate customer documentation, maintaining inventory transaction accuracy, and providing operational support to the Logistics Specialist and Material Handling team. This position requires strong attention to detail, effective communication, and the ability to identify and escalate discrepancies that may impact documentation, inventory, billing, or customer deliveries.

The Logistics Associate II also serves as a backup for key logistics activities, including billing and delivery coordination, helping ensure business continuity and timely execution of customer requirements.

Key Responsibilities

  • Support the Logistics Specialist in the preparation and generation of customer-required shipping and quality documentation.
  • Review customer documentation to ensure all information is accurate, complete, and compliant with customer requirements prior to shipment.
  • Prepare and/or review documentation including Certificates of Conformance (COC), Certificates of Analysis (COA), Packing Lists, and other customer-specific documents as required.
  • Carefully review shipment and product information provided by Material Handlers to ensure documentation is generated accurately and reflects the correct products, quantities, lot information, and other applicable details.
  • Identify, communicate, and escalate any discrepancies, missing information, or potential errors to the appropriate team members before documentation is finalized.
  • Serve as a backup to the Logistics Specialist I for billing/invoicing activities and delivery coordination to support continuity of daily logistics operations.
  • Perform inventory transactions and adjustments in the applicable systems, ensuring inventory is accurately updated following established procedures.
  • Verify that inventory transactions are completed correctly and promptly to maintain alignment between physical inventory movements and system records.
  • Occasionally support Material Handlers with product verification and review activities when additional operational support is required.
  • Collaborate with Logistics Specialists, Material Handlers, and other internal stakeholders to resolve documentation, inventory, and shipment-related issues.
  • Maintain accurate records and follow established procedures, customer requirements, and applicable quality standards.
  • Support continuous improvement initiatives by identifying opportunities to reduce documentation errors, improve process accuracy, and increase operational efficiency.

Qualifications

  • High school diploma or equivalent required; technical degree or relevant college coursework preferred.
  • Previous experience in logistics, warehouse operations, inventory control, shipping, or a related field preferred.
  • Experience working with shipping and customer documentation is preferred.
  • Experience with ERP, inventory management, or warehouse management systems is preferred.
  • Proficiency with Microsoft Office applications, particularly Excel and Outlook, preferred.
  • Ability to communicate effectively in English in a business and operational environment.
